Access and roles in tasks
The application implements two levels of access to the Tasks page according to the user's role on the service and a system of access to main tasks and store tasks depending on the user's role in the task.
Access according to the user's role on the solutions
For the role assigned to users in the Admin Panel solution, you can configure two levels of access to the "Tasks" page in the "Allowed functionals of solutions" settings:
- Tasks Page (Full Access) — allows you to create new tasks, view details, and complete them. This is a mandatory access level for the Author role in a task.
- Tasks page (View & Execute) — allows you to view task details and execute them, without the ability to create new ones.
Roles in the task
The role in the task determines which tasks are displayed on the task cards in the list, as well as which actions are available when working with task details — from viewing information to execution and control.
There are three roles available in a task:
- Author — creates tasks;
- Executor — assigned to perform a task in one or more stores;
- Watchers — assigned to observe and monitor task completion.
The author and watcher have access to the main task and all store tasks. The executor's access depends on the number of stores in which they are assigned as the executor.
Author and watcher of the task
On the main task card, in the "three dots" menu, users have access to the following options:
- Edit — allows you to change the settings of the selected task (description, deadline, list of stores, products, executors, watchers);
- Repeat — creates a recurring task based on the current one (if the Tasks Page (Full Access)) functionality is enabled);
- Copy — copies the selected task as a one-time task (if the Tasks page (View & Execute) functionality is enabled);
- Watchers — opens a list of watchers with the option to delete them.
- Delete — deletes the selected task;
Options available on the "Task Details" and "Store Task Details" pages:
- change status (main task and each task in the store);
- change priority (main task and each task in the store);
- work with checklists (main task and each store task);
- create comments (main task and each store task);
- viewing change history (main task and each store task);
- working with products (tasks for the store);
- working with photo reports (tasks for the store);
- viewing attached files (store tasks).
Note! Users who are authors and watchers of the task receive notifications about the main events with the main task and with each task for the store separately.
Executor on one store
If a user is assigned as an executor for only one store, the My task tab displays a store task card showing the status and priority of that task.
On the store task card, the "three dots" menu provides users with the following options:
- Repeat — creates a recurring task based on the current one (if the Tasks Page (Full Access) functionality is enabled);
- Copy — copies the task as a one-time task for one store (if the Tasks page (View & Execute) functionality is enabled);
- Watchers — opens a list of watchers without the ability to edit.
Available options on the "Store Task Details" pages:
- change status;
- change priority;
- working with checklists;
- creating comments;
- viewing change history;
- working with products;
- working with photo reports;
- viewing attached files.
Executor at several stores
If a user is assigned as a executor at several stores, the main task is available in view mode. The "Task Details" page displays only the cards for those tasks at stores where the user is designated as the executor.
On the main task card, the "three dots" menu provides users with the following options:
- Repeat — creates a recurring task based on the current one (if the Tasks Page (Full Access) functionality is enabled);
- Copy — copies the task as a one-time task for one store (if the Tasks page (View & Execute) functionality is enabled);
- Watchers — opens a list of watchers without the ability to edit.
Options available on the "Task Details" and "Store Task Details" pages:
- change status (task for store);
- change priority (task for store);
- work with checklists (main task and each task for the store);
- creating comments (main task and each store task);
- viewing change history (main task and each store task);
- working with products (tasks for the store);
- working with photo reports (tasks for the store);
- viewing an attached file (task for the store).
Comments
The "Comments" tab of the main task is available to the author, watchers, and executors assigned to two or more stores.
On the "Task Details" page (main task), on the "Comments" tab, after clicking on the "Add Comment" button, a window opens with a choice of actions:
- Add to all stores;
- Add only to main task;
- Back — cancels adding a comment and closes the window.
Only users who have access to view the relevant task can be tagged in comments.
Access restrictions
If a user loses access to stores according to the settings in the Admin Panel, the following restrictions apply:

Author | The main task becomes available in view mode | Unavailable tasks for stores to which they have lost access |
Executor | The main task becomes unavailable to the user | Unavailable tasks for stores to which he has lost access |
Watcher | The main task becomes available in view mode | Unavailable tasks for stores to which he has lost access |
If access to stores is lost, the corresponding store cards are displayed as inactive, and it is impossible to go to the "Task details by stores" pages that are not accessible.
Important! If access to the store has been restored, the task becomes available after re-entering the application.
