Recurring Tasks
To save time on repeatedly creating routine tasks, Store Manager offers the recurring task – a template with configured parameters, based on which the system automatically creates new, similar tasks.
This functionality is available on the "Tasks" page, on the "Recurring" tab.
Creating a Recurring Task
To create a recurring task, the Recurring tab in the lower-right corner of the "Tasks" page must be tapped.
Creating a recurring task consists of 6 steps:
- Basic task parameters.
- Configuring periodicity and deadlines.
- Choosing stores.
- Adding products or configuring a dynamic product selection.
- Selecting executors and watchers.
- Adding checklists.
Changes are saved after each tap on the Next button.
Step 1. Basic Task Parameters
At the first step of creating a recurring task, the "New task" page opens, where the following are available:
- the "Task name" field;
- the "Task description" field;
- the Attachment button – allows attaching a file;
- the "Priority" field – allows specifying the priority of task execution (low, medium, high);
- the Required photoreport checkbox, which, when activated, makes attaching a photo report mandatory for completing the task.
After completing this step, tap the Next button to save and proceed to the next step.
Step 2. Configuring Periodicity
On the "Task Schedule" page, the following must be configured:
- the "Start" field – the date from which tasks will be created.
- the "Frequency" field – configuration of recurrence by month, day of the month, day of the week, or daily;
- the "Creation time" field – configuration of the time at which the task will appear according to the configured periodicity;
- the "Deadline" block:
- the "Day(s)" field – the number of days allowed for completing the task (mandatory). If the value is 0, the "Enter time" field becomes mandatory;
- the "Enter time" field – the hour and minute by which the task must be completed;
- the "Stop Creating" block, which allows choosing one of the following options:
- the "Date" option – allows specifying the date until which scheduled tasks should be created;
- the "Never" option – if the task recurrence should not have an end date.

After completing this step, tap the Next button to save and proceed to selecting stores.
Step 3. Choosing Stores
On the "Choosing stores" page, at least one store must be selected. A separate subtask is created for each selected store.
In the header of the page, the following are available:
- the Filter button for selecting stores by markers or groups;
- the "Search" field for searching a store by name.

Tapping the All Stores button under the search field selects all stores available to the user for creating subtasks.
Step 4. Selecting Products
On the page that opens, products that need to be checked as part of the task can be selected. By default, the list of assortment products of the selected stores is displayed.
In the header of the page, the following are available:
- the "Search" field for finding the needed product:
- by name;
- by identifier;
- using the barcode scanner;

- the Filter button for filtering products:
- by issue blocks;
- by categories;
- by brands.

To select all products, the All checkbox to the right under the "Search" field must be activated.
A task can be created without products: to do this, tap the Without products button at the bottom of the page.
To add a product to the task, swipe it to the left; to remove it, swipe to the right.

Two options are available for forming the selection for future tasks:
- Products by selected filters – every new task created on schedule will automatically include all products that, at the time of its creation, fall within the selected block, category, or brand. To do this, the filtering must be configured and the All checkbox activated. If the stores are changed, the filtering and the activated All checkbox for the product list are preserved.
- With selected products – the same set of SKUs will be added to the task. If the stores are changed, the manually selected product list is reset.
Step 5. Choosing Executors
On the "Choice of executor" page, assignees for the task can be designated for the selected stores.
To select executors, it is possible to:
- set the same role for all stores;
- assign one individually for each store.

Color indicators on store cards mark the executor designation status:
- green – an executor has been designated;
- red – an executor has not been designated.

To set the same role for all stores, tap the Set the executor(s) role button in the page header.
Under the Set the executor(s) role button, filtering of store cards by whether an executor has been designated or not is available.
Watchers are users who have full access to the task and monitor its execution. To add watchers, tap the corresponding button to the right in the page header:

The list of available watchers includes users who:
- have access to all selected stores;
- are not the author of the task;
- have not been designated as executors.

If an watcher is designated as an executor, they are automatically removed from the list of watchers.
6. Adding a Checklist
After navigating from the "Choice of executor" page, the "Add a checklist" page opens. A checklist added on this page is automatically added to the main task and all subtasks across the stores.
In the header of the page, the following buttons are available:
- Templates – opens a menu of options:
- Save – saves the created checklist as a template;
- Apply – selects a previously saved template as a new checklist;
- Upload – designed for uploading checklist items from an XLS file.
Checklist items can be:
- added using the "Add item" field;
- edited by tapping on a previously created checklist item;
- deleted by swiping the checklist item to the left and tapping the Delete button.
Once at least 1 item has been added to the checklist, the More button with a checklist item counter appears in the page header. Tapping this button opens a context menu with the Delete all checklists option.
After completing the setup, the Create button must be tapped.
Result of Creating a Recurring Task
After creation, the recurring task card is displayed to the author on the "Recurring" tab
By default, the status of such a task and its subtasks is "Created". After the date specified in the "Date" field of the "Stop Creating" block arrives, the status of the recurring task changes to "Completed".
If the creation of a recurring task was not completed at a certain stage, it is saved with the status "Draft" and is accessible only to the author.
At the moment determined by the configured values of the "Start", "Frequency", and "Creation time" fields, the system automatically creates a scheduled task. Such a scheduled task is a separate one-time task and is displayed:
- to the author – on the "Instructed" tab;
- to executors – on the "My Tasks" tab;
- to watchers – on the "Watching" tab.
Viewing the Small Card of a Recurring Task
On the "Recurring" tab, the user sees all the small cards of recurring tasks, including their:
- status:
- yellow – "Created";
- green – "Completed";
- grey – "Draft";
- task name;
- priority – a flag of the corresponding color:
- blue – low priority;
- orange – medium priority;
- red – high priority;
- execution frequency.
Tapping the Expand button on the small card of a recurring task allows viewing additionally:
- the start date;
- the deadline;
- the stop date;
- the stores and assignees, if they have been designated.
The More button in the upper-right corner of the small card of a recurring task allows selecting one of the following actions:
- Edit – changing the settings of the recurring task;
- Copy – copying all task settings;
- Watchers – viewing the list of watchers with the ability to remove a watcher using the button to the right of their name;
- Delete – deleting the task.
If the recurring task is deleted, tasks already created on schedule remain accessible to all involved users.
For a task with the status "Draft", only the Delete option is available. Double-tapping the card opens the draft to continue creating the recurring task.
Viewing the "Recurring Task Details" Page
To view the details of a recurring task, the small card of that task must be double-tapped – the "Recurring Task Details" page opens, containing 3 tabs:
- "Learn more";
- "Checklist";
- "Comments".
"Learn More" Tab
On this tab, it is possible to find out the status the task is in:
- "Created";
- "Completed".
The priority of task execution is located below ("Low", "Medium", "High"); its value can be changed by selecting the required one.
Further down the page, information about the frequency, start date, time allotted for execution, and stop date of the task can be viewed, as well as its description (if available).
The "Check" block contains information about:
- the number of products selected in the task;
- the list of stores where this task must be completed. Tapping on a store card opens the "Task Details at Store" page with information and functionality relating only to the selected store.
"Checklist" Tab
On the "Checklist" tab, after creating the recurring task, the checklist can be edited:
- on the "Recurring Task Details" page – changes will be displayed across all stores in the task;
- on the "Task Details at Store" page – changes will apply only to the selected store.
In the header of the "Checklist" tab, the following buttons are available:
- Templates – opens a menu of options:
- Save – saves the created checklist as a template;
- Apply – selects a previously saved template as a new checklist;
- Upload – designed for uploading checklist items from an XLS file.
Checklist items can be:
- added using the "Add item" field;
- edited by tapping on a previously created checklist item;
- deleted by swiping the checklist item to the left and tapping the Delete button.
Once at least one item has been added to the checklist, the More button with a checklist item counter (for example, 2) appears in the page header. Tapping this button opens a context menu with the Delete checklists from all stores option.
Changes to the checklist of a recurring task apply to new tasks created on schedule. Checklists in already created tasks are not changed.
To view the checklist's change history, tap the corresponding button in the upper-right corner of the screen:

"Comments" Tab
The "Comments" tab hosts the general task chat. To add a comment to the task, the following steps are required:
- fill in the "Write a comment…" field at the bottom of the screen;
- tap the Send button;
- choose where the comment will be added:
- to all stores;
- to the main task;
- tap the Back button to cancel adding the comment.
The card of an added comment contains:
- the name of the comment author;
- the text of the comment;
- the time and date the comment was created;
- the Reply button, tapping which allows mentioning oneself in the comment via the "@" symbol in the comment input field.
- the Like button, if a like needs to be left on the comment.
To delete a comment, it must be swiped to the left and the Delete button tapped.
