Tasks. Creating and Editing One-Time Tasks

The "Tasks" page, located in the side menu, is designed for creating, performing, and monitoring tasks at stores.


The "Tasks" page contains 4 tabs:

  • "My tasks" – tasks assigned to the user for execution;
  • "Instructed" – tasks created by the user and assigned to other users for execution;
  • "Watching" – tasks in which the user has been added as a watcher;
  • "Recurring" – task templates with configurable periodicity, based on which new tasks are automatically created.


Note! By default, when navigating to the "Tasks" page, the "My tasks" tab opens.


On the "My tasks", "Instructed", and "Watching" tabs, cards are available for tasks in which the user is involved in the role of "Executor" or "Watcher", or is the author of the task. The functionality of the "Recurring" tab is described in a separate tutorial.


Task Types

The following task types are available in the app:

  • One-time – tasks created manually for a specific situation or problem. Executed only once;
  • Recurring – task templates for which parameters and periodicity are set. The template itself is not executed – the system uses it to create tasks according to a schedule;
  • Scheduled – tasks automatically created based on a recurring task. Executed the same way as one-time tasks, but according to the parameters of the set template.


Cards of recurring and scheduled tasks display a corresponding icon:
In the header of the page, the following are available:

  • the "Search" field for searching tasks by name;
  • the Filter button, tapping which allows filtering tasks:
    • by task type – on the "My tasks", "Instructed", "Watching" tabs;
    • by task status;
    • by store.


Creating a One-Time Task

A one-time task can be created on the "My tasks", "Instructed," and "Watching"  tabs. To create a one-time task, tap the corresponding button in the lower-right corner of the screen:

Step 1. Basic Task Parameters

At the first step of creating a one-time task, the "New task" page opens, where the following are available:

  • the "Task name" field;
  • the "Task description" field;
  • the Attachment button – allows attaching a file;
  • the "Priority" field – allows specifying the priority of task execution (low, medium, high);
  • the Required photoreport checkbox, which, when activated, makes attaching a photo report mandatory when completing the task;
  • the "Deadline" field – allows specifying the final deadline for task completion;
  • the "Time" field – allows specifying the time of day by which the task must be completed.


Note! If only the "Name" field is filled in, the task can only be saved with the "Draft" status.


To save and proceed to the next step, tap the Next button at the bottom of the page.


Step 2. Selecting Stores

At this step, the stores where the task must be completed need to be selected. A separate subtask is created for each selected store.


In the header of the page, the following are available:

  • the Filter button for selecting stores by markers or groups;
  • the "Search" field for searching a store by name.


Tapping the All stores button under the search field selects all stores for creating subtasks.


Note! The Next button, used to save and proceed to the next stage, appears only after at least one store has been selected.


Step 3. Selecting Products

On the page that opens, products that need to be checked as part of the task can be added. By default, the list of assortment products of the selected stores is displayed.


In the header of the page, the following are available:

  • the "Search" field for finding the needed product:
    • by name;
    • by identifier;
    • using the barcode scanner;

  • the Filter button for filtering products:
    • by issue blocks;
    • by categories;
    • by brands.

Note! A task can be created without products. To do this, tap the Without products button at the bottom of the page.


To select all products, the All checkbox to the right under the search field must be activated.


Note! The maximum allowed number of products that can be selected for a task is 10,000.


To add a product to the task, it is enough to swipe it to the left.
To remove a single product, it must be swiped to the right.

All selected products can also be removed at once: the x icon next to the selected product counter on the Selected button must be tapped, and the intention to unpin all previously selected products must be confirmed.


To save and proceed to the next step, tap the Next button at the bottom of the page.


Step 4. Selecting Executors

On the "Choice of executor" page, executors for the task can be designated for the selected stores.


To select executors, it is possible to:

  • set the same role for all stores;
  • assign one individually for each store.

Color indicators on store cards mark the executor designation status:

  • green – an executor has been designated;
  • red – an executor has not been designated.

To set the same role for all stores, the Set the executor(s) role button in the page header must be tapped.


Note! If only one user has access to a store, they are automatically designated as the task executor for that store.


Under the Set the executor(s) role button, the filtering of store cards is available based on whether an assignee has been designated or not.


Watchers are users who have full access to the task and monitor its execution. To add watchers, the corresponding button in the page header must be tapped:

Note! Designating watchers is optional.


The list of watchers includes users who:

  • have access to all selected stores;
  • are not the author of the task;
  • have not been designated as executors.

If the watcher is designated as an executor, they are automatically removed from the list of watchers.


Important! The Next button, used to save and proceed to the next step, appears only after an executor has been designated for at least one store. Without designated executors, the task can only be saved as a "Draft."


Step 5. Adding Checklists

Next, the "Add a checklist" page opens, whose functionality allows creating a checklist; it is automatically added to all subtasks across the selected stores.


In the header of the page, the following buttons are available:

  • Templates – opens a menu of options:
    • Save – saves the created checklist as a template;
    • Apply – selects a previously saved template as a new checklist;
  • Upload – designed for uploading checklist items from an XLS file.


Checklist items can be:

  • added using the "Add item" field;
  • edited by tapping on a previously created checklist item;
  • deleted by swiping the checklist item to the left and tapping the Delete button.


Once at least one item has been added to the checklist, the More button appears in the page header – it opens the option to delete all checklist items by tapping the Delete all checklists button.


Important! Editing and deleting checklists is available on the "Task details" and "Task details at store" pages, on the "Checklist" tab, in accordance with user access levels (executor, watcher, author).


Note! When new items are added to the checklist of the main task, the checklist on the subtasks is not updated in full: the new items are added to the existing list without removing previously added items.


After finishing the checklist setup, the Create button must be tapped – the task receives the status "Created", appears on the "Instructed" tab, and executors and watchers receive a notification about the new task.


Creating a Recurring Task

The process of creating a recurring task is described in a separate tutorial.


Tasks with the "Draft" Status

If task creation is not completed, the task is saved with the "Draft" status and is only accessible to its author.


To create a task draft, it is enough to fill in only the "Name" field. Other parameters can be added later.
To continue creating the task, double-tap the draft task card in the general task list on the "Instructed" tab. All the task creation steps will open in sequence, with the previously saved data.


Note! If the list of previously selected stores is changed, the previously defined product selection on the "Select products" page is reset.


After completing all the required steps, the task receives the status "Created", appears on the "Instructed" tab, and executors and watchers receive a notification about the new task.
To delete a draft, the More button must be tapped and the Delete option selected.


Actions with a Created Task

The More button in the upper-right corner of the small task card in the general task list is available to all users who have access to it (author, executors, watchers). The following actions are available in it:

  • Edit – allows making necessary changes in the same steps as during task creation, except for checklists; 

Important! Editing and deleting checklists is available on the "Task details" and "Task details at store" pages, on the "Checklist" tab, in accordance with user access levels (executor, watcher, author).

  • Repeat – allows proceeding to the creation of a recurring task;
  • Copy – copies the selected task as a one-time task;
  • Watchers – displays the full list of added watchers, with the ability to remove a watcher using the button to the right of their name, if available;
  • Delete – deletes the selected task.
